DEFINITION: Performs responsible and varied administrative court clerk work in the Municipal Court office.
ESSENTIAL DUTIES: the following duties are illustrative only and are not intended to be all inclusive: Performs basic customer service; supplying information to the public, accepting required fees and charges. Accounting duties, balancing cash receipts on a daily basis and in a timely manner, processes incoming tickets, subpoenas, and other court related materials. Checks the completeness, accuracy and compliance with municipal court procedural requirements on incoming tickets, charges, and etc. Processes files and maintains reports, legal documents and other record dispositions in accordance with established court procedures. Attends to the court counter and receives incoming telephone calls. Has the ability to communicate effectively both verbally and in writing. Occasionally performs duties and responsibilities of the Court Coordinator. May be required to attend City meetings on behalf of the Courts Coordinator; May be required to perform the functions of the Courts Coordinator and performs related duties as required.
WORKING CONDITIONS/PHYSICAL AND MENTAL EFFORT: Work is performed in a standard office environment. Extreme confidentiality is required. Job entails typing, word processing and/or data processing, requiring repetitive motion and sitting. The employee is frequently required to use hands and fingers, talk or hear; occasionally required to walk, handle objects, tools, or controls, and reach with hands and arms. Specific vision abilities required include close vision and ability to adjust focus. On occasion, may need to lift boxes that weigh up to 25 pounds.
EQUIPMENT USED: Ability to properly operate or use the following equipment is necessary for this position: computers and software, cash register, copier, typewriter, calculator, multi-line phone system and dictation transcribing equipment.
QUALIFICATIONS:
Knowledge- Correct use of English grammar, punctuation; basic office methods, procedures and practices; basic math and business letter writing; regulations, operating details of assigned area; personal computers and the relative software.
Skills- Read and write at a level appropriate to the duties of the position; perform arithmetic computations where required; type at a speed sufficient to accurately complete a reasonable typing workload in a timely manner; operate a computer for word processing, data entry and retrieval and other uses. Maintain skill in transcribing machine dictation.
Abilities- To perform a variety of clerical work requiring some exercise of independent judgment; perform routine and non-routine clerical duties as required by the position assignment; operate standard office machines; operate a typewriter at a minimum of 60 words per minute may be required for particular positions in this class; prepare and maintain clerical records and reports; perform math computations; communicate effectively verbally and in writing; establish and maintain effective working relationships.
EVIDENCE OF QUALIFICATIONS:
Training– High School Diploma or equivalent
Experience- Two years general clerical experience, preferably in courts or records management, orany equivalent combination of training and experience that provides evidence that the applicant possesses the required knowledge, skills and abilities.
SPECIAL REQUIREMENTS: Ability to pass a thorough background investigation. Bilingual in Spanish and English preferred.
